Audio troubleshooting
Find the cause of a problem with the Discord bot, a transcript, an audio file or Session preparation.

I cannot add the bot to the server
Adding the bot requires the Discord Manage Server or Administrator permission. If you do not have either permission, copy the invitation link and send it to someone who can add an application to the server.
Once the bot is added, use /volog setup to check the available capacity on the server.
VoLog does not start
You do not need a VoLog account. Check these points instead, in order:
- You are in the voice channel where you want to play.
- The bot can view and join that channel, and post in an associated text channel.
- You have not already started VoLog for another game.
- VoLog is not already active in that channel.
- The server has available capacity, as shown by
/volog setup.
If it still does not start, note the message shown by the bot. It usually identifies the permission or availability that needs attention.
Context does not appear or is not saved
Context is optional and does not control capture. Only the person who used /volog start can change it.
If you choose Skip, close the form, let it expire or receive an error, VoLog continues with the default information. Use /volog status to check that it is still active.
One person is not captured
Check the public message. If the person used Do not record me, their next spoken passages are no longer captured. Earlier passages are not deleted. They must use Participate in recording to resume capture; anything said during the interruption cannot be recovered.
Also check that they are speaking in the channel followed by the bot. /volog status shows that channel. After moving channels in manual mode, use /volog follow now.
VoLog stopped by itself
VoLog stops automatically:
- after 6 hours;
- after 15 minutes without captured speech;
- if the bot is removed or cannot reconnect for a lasting period;
- if it is moved to a channel where VoLog is already active.
Noise, written activity or someone who chose not to be recorded does not reset the 15-minute period. An automatic stop follows the same processing as /volog stop.
I cannot find the transcript
VoLog prepares a transcript only when the game lasts at least 10 minutes and contains enough speech. Preparation may take time after it stops.
The person who started VoLog receives the short recap of the game and a transcript link by direct message. The message also shows the date, duration, participant count, and the number of characters, locations, items, and spells spotted. They can also sign in with the same Discord account, then open the Workshop: the game appears there when preparation is complete.
Another participant receives neither that link nor the transcript. The button posted in the last voice channel lets them request the short recap of the game.
The transcript is incomplete
Wait until VoLog shows that the transcript is ready before checking it.
When a partial transcript is available, VoLog displays a general warning. Missing passages are not identified separately, so check the whole transcript before creating a Session. An interruption may also prevent creation when no text could be kept.
My file is rejected
VoLog accepts one MP3, WAV, M4A, WEBM or OGG file. Check that it:
- is not empty or damaged;
- is no larger than 1 GiB;
- lasts no more than 8 hours;
- has an extension that matches its actual format.
An MKV file produced by OBS and an Audacity .aup3 project cannot be added directly. Open the MKV file in Audacity with FFmpeg, then export an MP3 file. Do not simply change the file extension.
OBS does not capture every voice
Make a 30-second test with another person. In the OBS mixer, the microphone and Discord meters should move separately. Check that both sources appear only once and are assigned to track 1.
Use headphones to avoid echo. If Audacity cannot open the MKV file, install FFmpeg using the official instructions, then restart Audacity. Record a remote game with OBS covers the complete setup.
Session preparation appears stuck
Review is a normal pause: when the Full note is ready, VoLog waits for your approval before preparing the remaining content.
If a step failed and VoLog offers Try again, this action restarts only the affected step. If VoLog can no longer continue, Open incomplete Session keeps the available content.
If the problem continues, use the feedback action available in VoLog and include the Session name, the displayed stage and the approximate time of the problem. Do not attach an audio file containing other people without their agreement.
