Inform your table, use Discord's per-person controls and understand when audio files are deleted.

Obtain agreement before capture

Clearly explain that the table's conversation will be recorded, transcribed and analysed to prepare VoLog content. Do this before starting the bot or your device and obtain the required permission from each person.

If someone refuses, do not begin until a solution accepted by everyone has been found. Additional obligations may apply in your situation: you remain responsible for how you use the file you add.

Understand the Discord controls

When it starts, the bot posts a message visible in the channel. People present are recorded by default. Each person can change only their own status:

  • Do not record me stops capture of their future voice passages. Segments captured before the click are not deleted;
  • Participate in recording resumes capture of their future voice passages.

These buttons remain available during the game, but they do not constitute the table's initial agreement. Agreement must be obtained before /volog start.

The bot uses the information needed to run the game, including displayed Discord identifiers and names, the server, channel, start and end times and voice segments. It does not read or record written server messages.

VoLog does not perform biometric identification. Matches displayed for voices are based on the Discord accounts present and on the role and character choices made in VoLog.

Use your own file

Before upload, VoLog asks you to confirm that participants were informed and that you have the permission needed to add, transcribe and analyse the file. This confirmation is recorded with its date and version.

A file produced with your own device or OBS contains every voice. This method does not let a person opt out during the game, and VoLog cannot remove their voice separately afterwards.

Control public sharing

Your Sessions and campaigns are private by default. There are two sharing scopes:

  • sharing an independent Session gives access to its Full note, Session summary, Session report, variants and other available content;
  • sharing a campaign gives access to the campaign, all its current and future Sessions and their available content.

Saved changes become visible automatically. A Session attached to a campaign uses that campaign's share.

The link is available without an account, may be indexed by search engines and remains active until you disable it. People who open it can read and export content. VoLog Search requires their own account and uses their own credits. Check all content before activating or sending the link.

The game transcript is not shared publicly. Agreement to voice capture does not constitute agreement to publication.

Storage and deletion

VoLog deletes its audio copies after processing. The providers used for transcription do not retain the audio files sent to them.

The transcript and your Session content remain available in VoLog. To request review of a passage already transcribed, write to contact@volog.app; no VoLog account is required.
